An AI receptionist is software that answers your business phone. A caller dials your number, a computer voice picks up, and it talks with them: it answers questions about your hours and services, takes a message, books an appointment, or transfers the call to you. Afterwards it sends you a summary, a recording and a transcript.

It does the job of a front-desk person or an answering service, at a fraction of the price, for calls you’d otherwise miss: after hours, while you’re on a job, or when the line is busy.

Upfirst pricing page with plans for 30 calls at $24.95, 90 calls at $59.95, 300 calls at $159.95 and 600 calls at $299 a month, the features included in every plan, and an Enterprise plan for 1,000+ calls

How it works

The setup is simpler than most people expect. You don’t replace your phone system.

  1. You sign up and describe your business. Many services read your website to learn your hours, services and prices. Upfirst and NextPhone start from your website; Rosie also reads your Google Business Profile. Goodcall has you describe the business to a built-in assistant that writes the call script for you.
  2. You get a phone number. Most plans include one.
  3. You forward your calls to it. Your customers keep dialing your existing number. You choose whether every call goes to the AI or only the ones you don’t pick up, such as after hours or when you’re busy. Upfirst also lets you port your number over at no charge.

Rosie says setup takes as little as 10 minutes, and NextPhone about 5. That’s for a basic receptionist that answers and takes messages. Connecting your calendar, writing transfer rules and testing a few calls takes longer, but it’s an afternoon, not a project.

What callers hear

Callers hear a natural-sounding voice that greets them with your business name. They just talk. The AI answers what it knows from your website and setup notes, and asks the questions you told it to ask, such as the caller’s name, address and what they need.

Many services let you choose the voice; NextPhone offers 30. Many speak more than one language: Smith.ai and Rosie handle English and Spanish, NextPhone answers in 14 languages and switches when the caller does. Goodcall answers in English only.

Some services tell callers up front that they’re talking to an AI; Goodcall does, for example (Goodcall FAQ). Whether you want that is worth deciding before you go live.

What it can do

The core jobs are the same across most services:

  • Answer common questions about hours, location, services and prices.
  • Take messages and send them to you by text or email straight away.
  • Book appointments directly into your calendar (Google Calendar, Outlook, Calendly and similar) or, for trades, into field-service software. Sameday AI books into ServiceTitan, Housecall Pro and Jobber.
  • Transfer calls to you or your staff when a caller needs a person.
  • Text callers a confirmation, a booking link or directions.
  • Filter spam, so robocalls don’t reach you or count against your plan.

The comparison table under this guide shows which of these each service includes.

When the AI can’t handle a call

This is the question that matters most, and the answer depends on how you set it up.

The usual fallback is a transfer: the AI hands the caller to your mobile or office line, often with a short introduction or summary so you don’t start from zero. Some services try several people in turn until someone answers; Goodcall tries up to three. If nobody picks up, the AI takes a message.

A few services add humans behind the AI. Smith.ai’s AI can pass a caller to its live receptionists, with no extra fee when the AI starts the handoff. Abby Connect lets you choose, per type of call, whether the AI, a person or both handle it. That costs more, but nobody ever gets stuck with a machine.

What it costs

Self-serve plans start at $25 to $50 a month for light use. At 200 calls a month of about 3 minutes each, most self-serve services cost about $105 to $300; NextPhone is a flat $199 with unlimited calls. Billing comes in three forms: per minute, per call, or flat.

Compare that with a human answering service, where 200 three-minute calls cost roughly $900 to $2,000 a month. Our AI receptionist pricing guide works through the math for 50, 200 and 500 calls, tool by tool.

The main kinds

  • Self-serve receptionists for any small business. Upfirst, Rosie, NextPhone, Goodcall and similar. Sign up, forward calls, done. Published prices and free trials.
  • Industry specialists. Built around one trade’s software: Sameday AI and Avoca for home services, Arini for dental practices, Loman and Slang AI for restaurants. Deeper integrations, usually higher prices or quote-only.
  • Phone system add-ons. RingCentral’s AI receptionist and Quo’s Sona live inside a business phone system. A good fit if you already use one, though RingCentral’s also works standalone.
  • AI plus humans. Smith.ai and Abby Connect combine an AI receptionist with live staff.
  • Build-your-own platforms. Vapi, Retell AI and Bland AI give developers the parts to build a custom phone agent. Cheaper per minute, but you build it. See AI voice agent vs AI receptionist.

Who it suits, and who it doesn’t

An AI receptionist fits best when you miss calls because you’re busy or closed, and most of those calls are routine: booking, quotes, hours, “can you come out Tuesday?” A plumber under a sink, a solo lawyer in court and a two-chair salon all fit that pattern.

It fits less well when calls are long, emotional or need judgment: a distressed client, a complicated billing dispute. There, a human answering service or a hybrid like Smith.ai or Abby Connect is the safer choice. See AI receptionist vs answering service.

Medical and dental offices need a service that signs a HIPAA business associate agreement (BAA). Not all do: NextPhone and Smith.ai say they can’t handle protected health information, while Goodcall signs one on its Scale plan.

How to try one

Most self-serve services have a free trial: Upfirst gives 14 days with no card, Rosie and NextPhone 7 days, and Smith.ai has a free plan with 25 calls a month. Forward only your after-hours calls at first, listen to the recordings for a week, and adjust the setup notes where it got things wrong.
