Vapi review: what it takes to build an AI receptionist on Vapi

Vapi is a developer platform for voice agents at $0.05 a minute plus the AI you pick. What a receptionist costs at 200 calls a month, the catches, and simpler options.

Vapi is a platform for developers who build voice AI agents. You create an assistant (a system prompt plus the tools it can use) in Vapi’s dashboard or through its API, SDKs and CLI, choose which AI models and voice power it, and connect it to a phone number (Vapi docs). Vapi runs the calls and bills by the minute.

For a business owner looking for an AI receptionist, Vapi is a solid foundation. But it’s a foundation: the receptionist is something you or a developer has to build on top.

What building a receptionist on Vapi involves

Vapi’s dashboard quickstart gets a first agent talking in about five minutes, starting from templates such as Customer Support and Appointment Scheduler. It gives you one free US phone number to test with (phone quickstart). That first five minutes is impressive.

Turning it into something you’d trust with your customers takes more:

  • Picking the stack. Vapi lets you choose the language model (OpenAI, Anthropic, Google and many others), the voice (for example ElevenLabs) and the transcription service (for example Deepgram). Each choice changes quality, speed and price.
  • Writing the prompt. Your hours, services, prices, policies, what to say when it doesn’t know, and when to hand off.
  • Connecting tools. Vapi has ready tools for booking into Google Calendar and GoHighLevel (Google Calendar tool). Anything else, such as field-service software or a dental system, means custom work.
  • Transfers. Vapi supports blind and warm transfers to your staff, configured per assistant (transfer call).
  • Texting. Sending a confirmation text requires your own Twilio account (default tools).
  • Phone numbers. The free Vapi number is US-only and takes inbound calls only. For outbound calls you import a number from Twilio, Telnyx or another carrier (free numbers). You can also keep your existing number.

None of that is hard for a developer. For an owner who isn’t one, it’s a project, and someone has to maintain it when a model changes or callers start asking about a new service.

What it costs at 200 calls a month

Vapi charges $0.05 a minute for hosting, and passes through the model, voice and transcription costs at provider prices. Vapi’s own calculator puts 1,000 minutes at $82 to $129, or about $0.08 to $0.13 a minute all in (pricing).

For 200 calls at about 3 minutes each, 600 minutes:

  • Usage: about $49 to $77 a month.
  • Telephony: free on Vapi numbers; a Twilio number adds $0.008 a minute inbound.
  • Support package: optional. Core costs $29 a month and adds five numbers, ten concurrent calls and a two-business-day email support SLA.
  • Texting: whatever your Twilio account charges.

So the running cost lands around $110 a month or less, even with Core and a Twilio number. That’s low. Without a support package you’re capped at four concurrent calls, which is plenty for most small businesses but worth knowing if you get bursts.

Two costs hide outside that figure. The first is building and maintaining the agent, in your time or a developer’s fee. The second is HIPAA: if you’re a medical or dental office handling patient information, Vapi’s HIPAA mode is a $2,000-a-month add-on, which changes the math completely. Retell AI offers a self-signed BAA at no extra fee, and dental-specific receptionists like Arini sign one too.

For comparison, ready-made receptionists at the same volume: Rosie covers 1,000 minutes for $149 a month, Upfirst 300 calls for $159.95, and Dialzara 500 minutes for $199, plus $0.40 a minute beyond that (about $239 at 600 minutes). None needs building. More examples are in our AI receptionist pricing guide.

What callers get

Because you pick the voice and model, call quality is in your hands. It records calls and writes a summary after each one (call analysis). How well it handles the awkward calls (the angry customer, the caller with three questions at once, the emergency) depends entirely on how carefully it was built and tested.

Without a support package, Vapi keeps raw call data for 14 days. Paid packages include zero data retention, which can’t be combined with HIPAA mode.

Vapi success packages: No Success Package at $0 to start, Core at $29 a month, Pro at 10% of the hosting fee with a $999 minimum, and custom Premier

When a ready-made AI receptionist fits better

Pick a ready-made receptionist if you want to forward your calls and be done today, if nobody on your team will maintain prompts, or if you need booking into software Vapi doesn’t connect to out of the box. The monthly bill will be higher, typically $149 to $239 at this volume, but the setup will be a form instead of a project.

Vapi is the better choice if you have a developer, want full control over models and voices, need custom logic or integrations, or are an agency building receptionists for many clients.

Read AI voice agent vs AI receptionist for a longer look at that decision, and Vapi alternatives for options on both sides.

How it compares

vs Retell AI. Similar per-minute economics, but Retell is easier for non-developers (dashboard flows and an Auto Receptionist setup) and includes HIPAA at no extra fee. See Retell AI vs Vapi.

vs Bland AI. Bland runs its own models and charges one rate ($0.14 a minute on its free plan) instead of separate model and voice bills. Simpler to predict, less to choose. See Vapi vs Bland AI.

Verdict

Vapi is an excellent toolkit for developers and a low-cost way to run a custom AI receptionist, at around $110 a month or less for 200 three-minute calls. It is not a receptionist you can buy. If you have technical help and want control, it’s a strong base. If you don’t, or if you need HIPAA on a budget, a ready-made option from our best AI receptionists for small business will get your phones answered sooner, for somewhat more a month and no build.
