Vapi vs Bland AI: pick-your-own stack or one all-in rate
Vapi lets you choose every AI provider; Bland AI runs its own models at one rate. Costs at 200 calls a month, receptionist features and HIPAA compared.
At a glance
Vapi and Bland AI are both platforms for building AI phone agents, and both expect you (or a developer) to do the building. They take opposite approaches to the AI underneath.
- Vapi lets you choose the language model, voice and transcription from many providers, such as OpenAI, Anthropic, Google, Deepgram and ElevenLabs, and bills each at provider cost on top of its own fee (Vapi pricing).
- Bland AI runs on its own speech-to-text, language and voice models and charges one per-minute rate that covers all of them (Bland AI).
Short answer: for a small business receptionist, Vapi, because the features a receptionist needs (texting, warm transfers, calendar booking) are available without an enterprise contract. Bland makes sense for enterprises that want one vendor and its engineers to build with them.

Cost at 200 calls a month
Take 200 calls at about 3 minutes each, so 600 minutes.
Vapi charges $0.05 a minute for hosting, plus the model, voice and transcription at provider cost. Its own calculator puts the total at $0.08 to $0.13 a minute, so about $49 to $77 for 600 minutes. Calls on Vapi’s free number cost nothing extra. Support packages are optional; the $29 Core package adds five numbers and ten concurrent calls.
Bland AI charges $0.14 a minute on its free Start plan, so $84 for 600 minutes, plus $0.05 for every minute after a call is transferred to your team (Bland pricing). If your agent transfers 50 calls a month and your staff talk for 3 minutes, add about $7.50. Extra numbers are $15 a month each. The $299-a-month Build plan lowers the rate to $0.12, which only pays off above about 15,000 minutes a month.
So the bills are close at small volume, with Vapi a little cheaper. The difference is predictability: Bland’s price is one number you can read off the pricing page, while Vapi’s depends on which providers you pick and can change when they change their prices.

What a receptionist needs
| Vapi | Bland AI (Start and Build) | |
|---|---|---|
| Transfers to your staff | Blind and warm | Yes; warm transfers on Enterprise |
| Texting callers | Through your own Twilio account | Enterprise only (or the Agent Phone plan) |
| Calendar booking | Google Calendar, GoHighLevel | Cal.com |
| Call limits | 4 concurrent calls without a package (10 on Core) | 10 concurrent, 100 calls a day |
| HIPAA BAA | $2,000 a month add-on | Enterprise only |
Both record calls, summarize them and make outbound calls.
The texting and booking rows are where Bland falls short as a receptionist. A confirmation text after booking is something callers expect, and on Bland you need an Enterprise contract for it (Bland SMS docs). Bland documents booking only through Cal.com, while Vapi has ready tools for Google Calendar and GoHighLevel (Vapi Google Calendar tool), which more small businesses already use.
Building it
Vapi’s dashboard gets a first agent talking in about five minutes from templates such as Appointment Scheduler, with a free US number for inbound calls (Vapi phone quickstart). From there you tune the prompt, choose providers and connect tools. Developers get an API, SDKs, a CLI and simulations.
Bland’s web app lets you write the agent’s instructions in plain language and lay out its steps on a visual canvas (Bland agent builder). There are fewer choices to make, since the models are Bland’s. For enterprise customers, Bland’s forward-deployed engineers build the first agent. On languages, Bland’s site says 40+ and its API docs name 28.
Health information and regulated industries
Bland pitches itself to healthcare, insurance and financial services, and offers a BAA, SSO, data residency and on-premises deployment. All of that is on Enterprise, with custom pricing. Vapi sells HIPAA as a $2,000-a-month add-on. Neither is a cheap route for a small medical office; Retell AI offers a BAA without an add-on fee, and our AI receptionists for medical practices lists ready-made options.
Verdict
Choose Vapi if you’re building a receptionist for a small business: lower usage cost at 200 calls, texting and warm transfers without a contract, and booking into Google Calendar. Budget for someone who can set it up.
Choose Bland AI if you’re an enterprise in a regulated industry that wants one vendor, its own models, on-premises options and engineers who build alongside you, or if you want a single per-minute rate you never have to recalculate.
If you’d rather not build at all, a ready-made receptionist costs more but needs no building: Rosie covers 1,000 minutes for $149 a month and NextPhone unlimited inbound calls for $199. See Vapi alternatives and Bland AI alternatives for more, or Retell AI vs Vapi for the other common comparison.
